Hey, I'm Vlad Frolov.
I help founders and operators fix broken workflows with automation and AI… so you can move faster, reduce errors, and free up your team’s time (without duct-taping tools or hiring more people).
Tired of your team wasting days on repetitive tasks every week?
AI and automation are some of the fastest ways to save time in your business.
With the right workflows in place, AI and automation can eliminate hours and days of manual work each week. They don’t forget. They don’t need a break. They just work.
So if you've been looking for a fast and simple way to cut busywork, tighten your operations, and stop fighting process issues, then read on…
I think something might be broken in your operations…
Your team all use the same all-in-one tool. You have SOPs. And your IT has even set up a few automations.
But let me guess…
Your all-in-one tool requires ten workarounds. You're still manually updating fields, copy-pasting between tools, or exporting data to Sheets because required features are missing or too rigid. Migration – if you even have the option – looks painful, so you stick it out and pay in time and frustration.
You're buried in Slack threads and email chains. You have a project tracker, a CRM, and some automation. But important information is still getting passed around in DMs and emails, and nobody’s ever fully in sync.
Your team is duplicating work across tools. Your people are logging the same information in two systems because neither does exactly what you need. And no one trusts the data because it's never in sync. Progress is slow because they’re chasing each other’s updates.
Your spreadsheets are holding your business together (barely). You’re using complex sheets to manage workflows, pipelines, reporting. They break if someone edits the wrong cell.
You’re in meetings just to stay aligned. Instead of working, your team burns hours in status calls to confirm who’s doing what and when.
You’re not alone. Most growing teams hit this wall. You’ve got process bottlenecks, too much manual work, and tools that no longer fit the way your team works. And it’s costing you time, money, and momentum. But there’s a better way – and it doesn’t involve more meetings, more headcount, or expensive new software.
The solution is simpler than you think
You can increase throughput without hiring more operations or admin people. You can improve data flows without ripping out the tools your team already uses. You can clean up your processes without starting from scratch or rolling out a whole new platform.
If you get systems that think – built by someone who knows what they’re doing…
You can:
- Eliminate repetitive, manual tasks that slow your team down
- Connect your tools so data flows where it needs to automatically
- Reduce the number of meetings you need to stay aligned
- Catch dropped balls before they cost you business
- Free your team so you can focus on growth
And I'm here to help you do it.
Here are two ways I can help you improve your workflows
Done-for-you: Perfect if you just want it handled. You tell me what’s broken. I scope, build, test, and deliver a working system with documentation and training.
Ongoing support: I embed with your team and fix what’s not working week by week to help you scale with cleaner processes and fewer headaches.

Once live, I keep tuning based on the data and your team’s feedback.
My lifetime guarantee covers any automation I set up and includes prompt and courteous fixes of any errors I made at no cost to you.
Real systems I’ve built for real companies
Customer Onboarding
A marketing agency onboarded clients manually via forms, email, Slack, and CRM. I rebuilt the process in Make to track progress, flag missing inputs, send automated reminders, and post updates to Slack. Time spent per client dropped 80%, missed steps went to zero.
Applicant Screening
A strategy consultancy screened analysts with an inconsistent manual process. I built a workflow using Typeform for intake, Apps Script to send assessments, GPT for scoring, and Airtable to track progress through stages. Only qualified, scored applicants reached reviewers, saving days of admin work.
Document Processing
A consulting team spent tens of hours weekly reviewing market research papers. I developed AI chains to extract, classify, summarize, and tag key insights from PDFs and HTML documents, feeding results into structured formats. Review time dropped drastically and reuse of research improved.
Slack Assistant
As co-founder of Stratbot Junior, I built a conversational Slack assistant to surface internal knowledge on demand. It indexed structured business data, ranked results, and answered team queries. The tool was later acquired by a business intelligence firm.
Market & Competitive Research
A strategy consultancy spent days of manual scraping and formatting doing online research. I automated data collection, cleanup, classification, and report formatting using custom scripts and AI models. Deliverables are now produced in standardized formats with faster turnarounds.
Partner Research
A company needed a faster way to discover and vet strategic partners. I built an internal app that takes research briefs, generates search queries, pulls data from APIs, and extracts key information from target websites. Partner discovery and qualification became faster and more consistent.
Process Consistency
A digital agency struggled with consistency in process execution. I built a Notion workspace with SOPs, checklists, and how-to guides to standardize internal operations. This cut onboarding time and reduced errors caused by undocumented processes.
Operational Dashboards
A strategy team managed initiatives across Trello, Sheets, forms, and a CRM. I set up dashboards in Google Data Studio pulling data from each of the sources. Key metrics and blockers became visible at a glance, reducing the need for status meetings.
Five-Minute Contracts
A service business spent an hour per client preparing service agreements and statements of work. I built an automation to generate agreements and statements of work based on selected services, pricing, and client data, then email them for approval. Prep time cut from one hour to five minutes, saving hours daily.
AI Email Workflow
A sales team spent 12 minutes per prospect manually crafting research-based email sequences. I built an n8n workflow that pulls contacts from Sheets, uses Perplexity for research, Claude for copy, and updates Google Docs and CRM automatically. The process now takes under 2.5 minutes, with no drop in quality.
RFP Tracking
A client needed a no-code system to manage RFPs. I built a Smartsheet setup with forms, dashboards, reports, and automated reminders. Historical data was imported, and the client received a live walkthrough for full handoff. The self-managed system now keeps proposals organized.
Sales Dashboard
The client was spending hours manually pulling reports from QuickBooks, AccuLynx, and SalesRabbit. I built automated dashboards that pull and merge this data daily, highlighting key sales metrics and performance. Now they get clear insights every morning with zero manual effort.
AI Prompt Library for Sales
A tech company wanted to boost AI adoption after a team workshop but lacked structured tools for real use. I built a prompt library for their B2B sales team, covering meeting prep, follow-ups, and proposal writing. Prompts were workflow-based and designed to match their voice. The sales reps started using AI daily and saw a marked increase in pipeline velocity.
Book Reseller Mobile App
A bookseller needed a faster way to list used and collectible books online. I built a mobile app where they can snap a photo of a book and instantly extract the title, author, edition, condition, and more using on-device computer vision and GPT. The tool generates marketing copy and posts listings to eBay and Etsy with one tap. Listing quality improved and time dropped from fifteen minutes to under three.
Call Summarization & Follow-Up
A client needed a better way to capture and act on sales calls. I built a workflow that records calls, transcribes them, summarizes key details with GPT, and logs structured notes in Jobber CRM. When an email is captured, a follow-up draft is generated for manual review. Built using Make, OpenAI, and Jobber APIs. Follow-ups are faster, and CRM records stay up to date without extra admin work.
Lead Gen System
The client was juggling manual lead scraping, outreach, and follow-ups across tools. I built a Make scenario to scrape leads, enrich data, send personalized emails and SMS, trigger follow-up calls, and log everything to the CRM. It runs with zero manual input and uses GPT for real-time messaging.
Goal Tracking Dashboard
An internal team needed a low-maintenance way to track progress on eight quarterly goals. I built a Looker Studio dashboard connected to Postgres and BigQuery, with one Look per measure and charts that auto-update. The team now has a single source of truth for its KPIs.
Need something specific? Chances are, I’ve built something like it.
Let’s talk about what’s not working, and I’ll tell you how I can help.
